Food/Clothing Assistant:

This volunteer will be responsible for working in the food pantry and/or clothing bank.
Reports directly to the Food/Clothing Coordinator.

Responsibilities: Clothing Bank

When preparing to open:

  • Pick up and straighten the clothing bank.
  • Remove all empty hangers to prep room. No empty hangers should be left in the clothing bank.
  • Vacuum if necessary.
  • Dust at least once/week.
  • Re-Fill plastic bag as necessary.

If possible during the day pick up and straighten, remove hangers, replace plastic bags.

If messes are made during the day, please pick up after yourself. Please be considerate of other volunteers.

Sorting and Stocking Donations:

  • All clothing is to be sorted by: Gender, Size and Season. Heavily soiled, stained or frayed clothing is to be thrown away.
  • Put usable but inappropriate clothing (Language, Pictures, No size tags) in Salvation Army or Goodwill bag. Hang all clothing on proper hangers (Children’s on children’s hangers, pants on pant hangers, Suits on suit hangers etc.).
  • Put or hang clothing in proper area of clothing bank. Do not overcrowd the racks.
  • Excess and out of season clothing is to be sorted put into clearly labeled boxes according to: Gender, Age group andSeason

As clothing is needed to re-stock racks:

  • Unpack appropriate boxes
  • Hang on proper hangers
  • Put in proper area or rack
  • Do not overcrowd racks
  • Re-Pack clothing that is not used in properly marked boxes.

Keep donation sorting room as neat as possible

Preparing to close:

  • Close any open windows.
  • Turn off any appliances (Fan, T.V., computer etc).
  • Turn off all lights.
  • Lock and close doors.

RECEIVING FOOD DONATIONS

  • Weigh the food coming in and document the donor name and date. Total the food weight and report it to the Intake Desk. The Intake Desk will enter the information in the correct file in the CiviCore database.
  • Mark out UPC code (scan code used at grocery stores).This prevents clients from returning food at stores to receive money.
  • If jars have been opened, lids are noted to be bulging or containers have increased damage –weigh as waste and document as “Food waste” with date and throw out with the trash.
  • Organize food by different types of foods (corn, green beans, beans, fruit etc.) to place on shelves. Rotate existing food to right placing the new food behind current row of food to back of shelf then starting a new row to the left of the existing row and continue as needed. The practice is: First In First Out (FIFO).

RECEIVING BREAD

  • Weigh bread, document donor name and date. Total the bread weight and report it to the Intake Desk. The Intake Desk will enter the information in the correct file in the CiviCore database.
  • Check bread on the shelves for mold, hardness, and age. If any mold is found, bread smashed, date older than 10 days, or has become hard throw it out. Weigh all waste bread and document as “waste” with date.
  • Stock bread on shelves: Older bread to be kept at front of shelf and new bread to the back. Keep types of bread separated on different shelves. When stocking new bread be aware of any mold, smashed bread or if not eye appealing. Waste as above if necessary.

 

DAILY CHORES

  • Check bread for mold, hardness and age. Throw out bread with any mold, is hard or is 10 days older from date on bread. Keep bread rotated with the oldest bread at the front of the shelf. Keep breads separated by types (sandwich bread, specialty bread, rolls, and buns) on different shelves. Weigh all waste bread and document as “waste” with the date.
  • Organize food shelves rotating food to right as needed.
  • Vacuum hallways.

 

WEEKLY CHORES

  • Sweep and mop floors.
  • Clean shelves.

 

MONTHLY CHORES

  • Clean refrigerators.
  • Clean freezers

Food/Clothing Coordinator:

Duties: Build food boxes, stock shelves, weigh incoming and outgoing donations, sort through bread daily, assist clients in clothing bank, oversee clothing clients to ensure they do not take more than allowed. Sort and hang clothing. Keep clothing bank organized.

Objective: To make sure clients get what they need in the process of finding self-reliance. All clients need to be treated equally in their opportunity to receive assistance.

Procedure:
